1.0 The Tamar Valley Vibe is committed to respecting the privacy of site users and online security. For these reasons, efforts will be made to keep the obtainment of personal information to a minimum and as securely as possible.

1.1 The following policy will be subject to ongoing review and may be changed to reflect website developments or changes in ownership and/or trading status.

3. What personal data we collect and why we collect it

3.0 Comments are not enabled in respect of published articles thereby negating the need to record personal, registration or log in details.

 

4. Media

4.0 If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

 

5. Contact forms

5.0 The Tamar Valley Vibe utilises a contact form which does not store submitted messages or personal information. Resultant email correspondence is managed separately from the website. Persons making contact are asked to provide their name and email address as well as outlining the nature of their enquiry. This is requested out of necessity to respond to any and all contact requests.

5.1 Persons making contact are required to confirm they are over 18 years of age and consent to the Tamar Valley Vibe to use the personal information provided for the purposes of responding to the contact request and fulfilling any follow up contact/requested actions originating from the original contact form submission. Persons under the age of 18 should seek a suitable adult to make contact on their behalf. This is to comply with the provisions of GDPR (General Data Protection Regulations) and prevent the inadvertent recording of personal information appertaining to juveniles.

5.2 The contact form also contains the option to consent to inclusion on an electronic newsletter mailing list. This is entirely optional and will also be managed separately from the website. Personal information provided will not be shared with third parties (unless there is a legal obligation to do so) and the intended sole purpose for retention is to enable the sending of Tamar Valley Vibe newsletters (by email) to followers and prospective advertisers/website article subjects who wish to receive the very latest news, developments and opportunities concerning the website.

5.3 Retention timescales: data from spurious, suspect and or vexatious contact forms will be deleted immediately (without being responded to) unless there is a legal necessity or requirement to do otherwise.

5.4 Personal data from genuine contact requests, where consent for newsletter mailing list inclusion is not granted, will be retained only for so long as is necessary for the contact request to be addressed and responded to.

5.5 Personal data from genuine contact requests, where consent for newsletter mailing list inclusion has been granted, will be retained indefinitely and solely for the purpose of circulating Tamar Valley Vibe newsletters. All email correspondence used to send newsletters will include the option/instructions to opt out of the mailing list.

5.6 Further to 5.5 (above) and in addition to requests to be removed from the electronic newsletter mailing list, the following outcomes will result in deletion of personal data from the mailing list: Cessation of the newsletter scheme; Automated responses indicating the email address is void/no longer in use; Proposed changes to the accessibility , safekeeping, methods and or processing of personal data.

5.7 In such an event (5.6), persons on the mailing list will be notified by email as to the actions being taken and the reason why. Any subsequent reinstatement of the newsletter scheme or mailing list will require establishment anew with the consent of participants sought.

5.8 Further to 5.5 (above) the following outcomes will result in an unambiguous email communication to persons listed on the mailing list advising of the changes due and specifying options to remain on the mailing list or seek removal and deletion of personal data: Sale of the Tamar Valley Vibe to another person, group or trading entity (regardless of operating sector); Substantial changes in trading structure or status which may result in working within a partnership or shared ownership. 

 

6. Cookies

6.0 Cookies are small data files sent by a website server to a user’s web browser, hard drive or processor memory. The cookies are stored there and can serve a range of different purposes including customising user experience/preferences or storing log-in information. 6.1 At this time the Tamar Valley Vibe does not use cookies. However, this may change in the future. The nature and extent of any cookies used will vary depending on the development of the website and its offerings. Following any such development, the website will be reviewed for active cookies and this policy simultaneously updated to reflect any changes due to cookie usage. Points 6.2 to 6.4 inclusive are included in anticipation/preparation of any such developments.

6.3 How to accept or reject cookies:

8. Analytics

8.0 The Tamar Valley Vibe utilises anonymous analytical ‘plug-ins’ (software which tracks usage but does not record personal information) in order to assess popularity of articles and access of menu pages. This is undertaken to refine, develop and improve site content to meet visitor needs.

8.1 The plug-ins utilised are heat-map for WordPress by Heat-map Inc; Statify by Pluginkollektiv and an optional like/dislike counter by layer developer.com. If the like/dislike counter is not visible to webpage visitors, this means it is not presently in use. 

 

9. Who we share your data with

9.0 Personal data obtained from the website contact forms is managed using/shared with 1&1 IONOS webmail hosting, their privacy policy is available here.

 

10. How long we retain personal data

10.0 Article likes/dislikes icons are recorded anonymously and retained indefinitely .

10.1 Heat-map for WordPress retains analytical data for six months, again this is recorded anonymously.

11.0 You can request that we disclose and or erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

13.0 The Tamar Valley Vibe neither seeks or undertakes the collection or storage of large quantities of sensitive personal data. This substantially supports and contributes toward the policy statement of ensuring privacy and online security by keeping the obtainment of personal data to a minimum.

13.1 The Tamar Valley Vibe is not required to have a data protection officer and no individual has been appointed to such a position.

13.2 GDPR (General Data Protection Regulations) training has been undertaken to ensure understanding of and compliance with the legislation. Access to and management of personal data is tightly controlled and not contracted out to any third party.

13.3 Where personal data is obtained, the superior and proven resources of experienced service providers (e.g. 1&1 IONOS webmail) is sought, at cost to the enterprise, to achieve the highest standards of data security and privacy management.

13.4 Where developments to the website, trading status or activity are planned which may necessitate changes to the amount and or nature of personal data recorded, the following course of action will be undertaken: i) Thorough research as to nature, quality and reliability of software/third party service provision prior to implementation; ii) Privacy & Cookie Policy revision, amendment (as appropriate) & publication; iii) Consideration of need and benefits of Privacy Impact Assessment with appropriate action taken as required.

13.5  In the unlikely event of a personal data breach, The Tamar Valley Vibe will comply fully with the requirements of the General Data Protection Regulations (GDPR) and take all possible steps to notify persons potentially affected by the breach as soon as practicable. Furthermore, there will be full and unequivocal co-operation and every assistance rendered to third party service providers and law enforcement agencies to safeguard against continued personal data breaches and assist with civil remedy or criminal prosecutions.
